Enva are seeking to fill a number of vacancies at their base in Portlaoise.

Industrial Services Accounts Administrator

Main Purpose of Role:

To carry out accounts and administration work associated with the Industrial Services Division and to assist with other areas as and when required.

Duties & Responsibilities:
Primary Duties
  • Check and confirm all sales invoices relating to Industrial Services ensuring all is in order- this must be kept up to date daily.
  • Prepare and review credit notes and deal with accounts queries
  • Record and account for accruals where applicable for Industrial Services – this must be kept up to date daily, input into OC.
  • Sales & margins report to be updated daily, monitored and variances highlighted to management
  • Prepare all information for month end accounts in a timely and efficient manner, as per Enva internal and Group deadlines/ timelines
  • Preparing and submitting both financial and customer specific weekly and monthly reports as required
  • Assist in preparing budgets and forecasting
  • Liaise with the finance department regarding credit checks for new customers and new suppliers and set up new accounts
  • Participation in ad hoc finance projects as required
  • Prepare, log, record etc. driver hours, wages, annual leave etc

 

Other Duties
  • Assist in the daily operations and planning and arranging of works and ongoing projects in the most cost efficient and effective manner possible, according to business/ customer needs and in conjunction with the Services & Compliance Manager.
  • Input all data relating to works in a timely and efficient manner and in accordance with the standard procedure (i.e. accurate information regarding pricing, compliance etc.).
  • Monitor and manage the receipt and close out of all required and relevant paperwork from drivers, e.g log sheets, inspection sheets etc
  • Deal with and address collection discrepancies immediately and re-charge in a timely manner.
  • Support the Industrial Services management team with the coordination, facilitation and implementation of other requirements for the division
  • Communicate any issues that arise to the Manager promptly
  • Attend meetings as required
  • Suggest & implement improvements to increase the efficiency of the department
Education/ Experience required:
  • Minimum Leaving Certificate qualification
  • Additional qualification and experience in accounts or administration, would be a distinct advantage
  • Computer literate with very strong working knowledge of MS Word, Excel and Outlook and CRM databases; experience of Microsoft Navision a distinct advantage
  • Excellent telephone manner, communication and interpersonal skills
  • Ability to work on own initiative and as part of a wider team
  • Ability to work to daily deadlines

Finance Administrator

Reporting to:               Finance Supervisor, or as directed

Division:                      Enva Group

A vacancy has arisen for an Administrator within the Enva Group based at Portlaoise. The successful candidate will be an individual who possesses a positive “can do” attitude and has excellent communication skills.

The position will involve the following main duties: 

  • Responsible for raising customer invoices and maintaining the invoice log for a large client (including proactively managing the return of purchase orders and ensuring queries are resolved on a timely basis)
  • Issue of back up documents and schedules to client to facilitate payment of invoices
  • Process contractor schedules and invoices for payment relating to works
  • Maintaining detailed reports for various departments and combining them into a master file
  • Ensuring PO’s are on file prior to commencement of works
  • Be the point of contact for a large client and deal with any queries as they arise
  • Liaise with Local Authorities, maintaining and creating good relationships and lines of communication
  • Ad hoc Reception cover and other administrative duties as required

The following skills/experience are essential: –

  • A good working knowledge of invoicing and purchase order systems
  • Excellent computer literacy with strong working knowledge/ experience in Excel essential
  • Credit Control experience desirable
  • Strong communication and interpersonal skills
  • Excellent numeric and organisational skills
  • Ability to work methodically through problems with excellent attention to detail
  • Ability to work under pressure and meet tight deadlines
