JOB VACANCY: Leprino Foods EU seeking to hire Warehouse and Logistics Manager in Portlaoise

We are looking for exceptional talent to join our team here in Leprino Foods EU, providing strong leadership and development of the team. Lead continuous improvement of the Stores and Logistics operation with respect to Safety, Quality, Efficiency and Environmental Standards whilst ensuring a seamless integration of Stores with the Site Operations team.

Responsibilities

Relationship Development

  • Build and maintain strong working relationships with the Site’s Senior Management team, GC Planning & Logistics Mgr. and team, Stores Co Ordinator’s, Stores FLT drivers and Lead Shift Mgr. and Shifts Mgrs., to deliver results
  • Develop effective working relationships with the Quality, Maintenance and Technical Services, working with them to develop strong underpinning knowledge on site products and processes.
  • Ensure clear lines of communication with Suppliers and third party storage contacts and that all issues are logged and escalated to key stakeholders through the non-conformance reporting system
  • Develop an open, approachable and professional relationship with employees, always operating on the basis of integrity, trust and in line with Company Values including our Dignity at Work policy.
  • Maintain a high level of presence in the Stores and Production areas and take an active interest in supporting Shift Managers, Cell Leads and Production and Stores Specialists. Encourage employee engagement, actively promoting continuous improvement, and skill and knowledge development to help them reach their full potential.
  • Communicate openly and regularly with the Site Management Team, keeping them updated with relevant site/departmental information.
  • Build an effective and collaborative working relationship with the HR Manager and HR team, working together to develop strong employee relations, with positive engagement and a learning culture
  • Develop strong communication links with the other Glanbia Cheese Stores Unit Mgrs., sharing learnings, examples of best practice and supporting each other on problem solving exercises
  • Take an active interest and develop an understanding and a relationship where appropriate with key suppliers

Operational Excellence

  • Undertake a daily Gemba walk of the Stores areas to verify the process is in control and identify opportunities for improvement
  • Facilitate communication between production, planning, sales and distribution providing an efficient customer supply chain
  • Oversee the purchase requisition process for all raw material,(packaging and ingredients), PPE and chemicals; ensuring these are requested in a timely manner via SAP, to meet operational and customer demand with timely escalation of any potential run outs of raw materials, to key stakeholders
  • Ensure the receipt and processing of customer orders is completed in a timely manner in accordance with the Production Plan and the Delivery Schedule
  • Monitor supplier and customer service tends and escalate any adverse trends or any potential service impacts, to key stakeholders
  • Oversee correct storage of chilled, frozen and ambient goods and inbound and outbound deliveries
  • Oversee shipping routes to customers and third party cold stores
  • Co-ordinate cycle counts of raw materials and finished goods
  • Complete effective RCA for distribution related customer complaints
  • Daily communication and co-ordination with site Quality assurance and operations for any product quality related issues
  • Apply a structured approach to resolving the key H&S, Quality and Productivity problems within Production and Stores Depts through the effective use of lean tools including 5 whys, DMAICs and pulling in support from QA Maintenance as required in cross functional teams
  • Support an effective tier meeting system including an effective Daily Tier 1 meeting in Stores.
  • Attend the daily DMS meeting representing Stores. Ensure 360 feed back to the Stores team on the Tier 1 issues raised.
  • Lead continuous improvement initiatives to improve Safety, Quality, Operational Efficiency, and eliminate waste using lean tools
  • Development of PSOPs, RAs and Standard work in the Stores (capturing one best way of operating) ensuring these are in place for every activity and associated Competency Assessment of Stores Specialists
  • Lead the development of effective and sustainable zonal 5S within Stores areas
  • Develop an Asset Care culture within the Stores areas ensuring all fabrication issues are promptly addressed
  • Ensure a progressive improvement in cleaning and hygiene standards within the stores areas
  • Initiate and lead capital projects and the preparation of AFEs to support the strategy for stores
  • Ensure effective Curd age management escalating curd quality or potential curd age risks to relevant stakeholders
  • Ensure the accurate and comprehensive completion of all H&S, Quality and Operational documentation
  • Provide weekly stock reports to the required stakeholders
  • Update Stores KPI report daily/weekly
  • Weekend Mgt Cover 4 times per year
  • Track stores performance against KPIs and take remedial actions
  • Track and document Hauliers and Suppliers performance and escalate any concerns to key stakeholders

Leprino Foods

People/Team

  • Provide effective Leadership for the Stores teams providing direction and guidance to support the achievement of Department goals.
  • Ensure the Values of the Business are “lived and breathed” in all aspects of the Stores and Logistics operation.
  • Ensure there is role clarity across Stores and Logistics and that all members understand their roles, responsibilities, accountabilities and expectations for themselves and their team, and that the whole Team is motivated to succeed.
  • Development of the Stores Co-ordinators through effective coaching and development plans, and objective setting, supported by structured processes including regular one-to-one meetings and ensure this is cascaded through their respective teams
  • Ensure the development and delivery of Technical training programmes to develop the Stores team overall understanding and knowledge of the Plant, Process and Procedures including the What, Why, Acceptable working range and Actions to take in the event of deviation from standard. Ensure this knowledge is also captured in the PSOPs
  • Ensure effective escalation processes are in place and used by the Stores Team
  • Support the Store teams in developing effective decision trees, flow charts and procedures; drawing on the learning’s from each challenge, to progressively improve their decision making, speed of reaction to issues and reduce the necessity for escalation
  • Set clear expectations on standards and performance for each member of the team, holding them accountable for delivery through clear action plans and reasonable execution timelines.
  • Promote timely and structured approach to close out and completion of agreed targets and actions.
  • Through effective communication, support the creation of an environment whereby all the Stores team members are encouraged to contribute to the site’s success, creating a culture of engagement and positive employee relations.
  • Map out the shift rotas; inclusive of holidays, to ensure they match the requirements of the Business Plan; aligned with the Planning & Logistics Dept and Production, and that these plans are clearly communicated to the team members ensuring the rotas are understood. Monitor the effectiveness of the Shift rota and make the necessary timely adjustments to the rotas to match business requirements
  • Regularly review of staffing levels to ensuring Stores and Logistics is aligned to the Weekly Production Plan. Lead the recruitment for the Stores Dept and ensure effective onboarding.
  • Ownership of the annualized hrs process, monitoring the hrs to ensure they are maintained within the agreed +/- limits and report on same on a monthly basis.
  • Ensure that there are effective cross training plans and that these plans are being effectively implemented, working towards everyone in Stores being cross trained with effective succession planning in place.
  • Monitor that the SAP T&A exceptions are fully and timely addressed
  • Ensure the completion of Return to Work Interviews and that absence awareness meetings, investigative and disciplinary meetings take place when triggered
  • When required actively participate in Employee Relations matters, including Investigation, Disciplinary, Grievance Hearing, and Appeal stages of formal processes, in line with HR guidelines and support.
  • Proactively engage and support site initiatives designed to support engagement, continuous improvement, and Health & We-being.

Responsible Care

  • Promote and support the development of an effective and pro-active safety culture on site with the whole team working to identifying and eliminate hazards.
  • Ensure that Near Miss report is promoted and near misses are being raised and addressed
  • Build H&S into the PSOPs to promote safe working practises, in accordance with relevant Health and Safety Legislation
  • Ensure that each activity is Risk assessed by providing the necessary resource to complete these risk assessments.
  • Proactively prioritize hazards ensuring effective control measures in place, associated PPE provided with full compliance
  • Ensure that all safety inspections take place within designated timeframes – such as daily FLT checks, scheduled racking inspections
  • Ensure that all accidents and incidents within the department are thoroughly investigated and escalated and that root causes of these are identified and eliminated through preventative measures.
  • Ensure that all the mandatory/regulatory H&S and Quality training is completed within the required time periods
  • Support the QA Team to ensure all Customer Complaint Investigations identifying root causes and ensuring timely close out of agreed corrective actions.
  • Ensure that all food safety and CCP procedures are observed and report any issues that may constitute a hygiene or safety risk
  • Daily communication with the Quality, Production and Planning teams to ensure the effective/efficient segregation, hold and subsequent downgrade/release of finished product.
  • Carry out product traceability as required
  • Ensure your team are fully aware of site environmental standards, and ensure production processes operate in accordance with the requirements of ISO) and the site operating licence.
  • Ensure that accidental discharges are minimised, and where these may occur, that spillage investigation report is completed and remedial action is implemented.
  • Act as weekend Duty Mgr. for the Site when scheduled

Person Specification

Applicants are required to explain on the application form how they demonstrate the knowledge, skills and behaviours specified:

Physical

No health issues likely to preclude employment in the dairy industry

Qualifications & Training

Numeracy and literacy sufficient to maintain accurate and legible records and to understand the significance of numerical data and communicate effectively in writing

IT literate in Microsoft packages and able to demonstrate use of Excel spreadsheets

Formal qualification or accredited training in any of the following:

  • Supervisory Management
  • Stock Management/Logistics
  • Food Science/Technology field

Experience

Previous experience in a Stores & Logistics / Manufacturing/ Production planning role, with evidence of consistent achievement of targets

  • Previous experience of team leadership and supervision
  • Working knowledge of stock control/purchasing systems
  • Experience in report compilation

Specialist Knowledge

  • Knowledge of computerised stock management systems
  • Able to demonstrate knowledge of how safe working practices are applied in the Stores environment
  • Able to demonstrate knowledge of Quality Assurance/Environmental systems in relation to Stores environment
  • Working knowledge of SAP stock management system/SAP purchasing system
